Administrative Officer, Part time STP Support Projects

The Royal Australian and New Zealand College of Psychiatrists (RANZCP) is the principal organisation representing the medical specialty of Psychiatry in Australia and New Zealand.

 

The RANZCP has received Australian Government funding under the Specialist Training Program (STP) for the delivery of projects to support trainees and Specialist International Medical Graduates (SIMGs) on the pathway to Fellowship.

 

This Administrative position supports the Specialist Training Program (STP) Support Projects section of the Finance and Commercial Contracts Department (FaCC).

 

The Administrative Officer undertakes administrative and secretariat duties associated with the STP Support Projects and associated committee activities. The position also provides general administrative support to the Projects Manager, STP and the FaCC Department

 

Specific duties include, but are not limited to, providing administrative support to selected committees and working groups of STP Projects, including scheduling meetings and teleconferences, organising travel and catering, preparing meeting papers, and maintaining the committee work plans. Providing administrative support as required to the Projects Manager, Contracts Manager and Project Officers. Providing assistance with organisation and preparation of materials for meetings, mail-outs, workshops and events. Undertaking other administrative duties as required consistent with the role and priorities of the STP Program.

 

The successful candidate will demonstrate:

  • Excellent interpersonal skills, including the ability to communicate effectively with a wide range of people.
  • Capacity to work as a member of a team combined with the ability to work unsupervised on allocated tasks in accordance with team objectives, timelines and priorities.
  • Commitment to a high quality service-oriented workplace culture.
  • Excellent oral and written communication skills including the ability to write clearly and concisely.
  • Mid-level competence in Microsoft computer applications (Word, Outlook, Excel and PowerPoint).
  • Experience in preparing meeting documentation (agendas, minute taking and writing, and preparation of meeting action lists).
  • General administration skills including planning, organisational and time management, including the ability to prioritise workload, meet deadlines and adapt to meet changing demands.
  • Demonstrated ability to support multidisciplinary workgroups.
