The Royal Australian and New Zealand College of Psychiatrists (RANZCP), the principal organisation representing the medical specialty of psychiatry in Australia and New Zealand is seeking an Administration Officer to provide support and customer service for the South Australia and Victorian Branches. Key responsibilities: - Respond to enquiries from members of the College and the general public, referring, finding a resolution to and/or escalating enquiries as appropriate.
- Assist in coordinating day-to-day operations of the Branch Office as required, including arranging venues and catering and setting up for meetings, ordering stationery and catering supplies.
- Assist in providing administrative support for the Branch Committee and where required, other local College groups, including scheduling meetings, preparing and distributing meeting agendas, minutes, correspondence, and other documentation, and monitoring and progressing action items in accordance with College policies, guidelines and performance indicators.
- Assist in preparing member communications in collaboration with the College’s Communications Officer, including communiques, newsletters, bulk e-mails, website content, and other publications in accordance with College policies and procedures.
- Attend and assist in the running of local events and meetings as required.
- Assist to coordinate local events in collaboration with relevant members and College staff, including developing budgets and coordinating funding applications, marketing, coordinating registrations, processing payments and supporting conference organising committees as required.
The successful applicant will demonstrate: - Qualifications and/or equivalent minimum three (3) years of experience in business administration.
- Experience in event management is preferable.
- Well-developed written, verbal and interpersonal communication skills, including the ability to liaise with a range of stakeholders.
- Excellent computer skills using MS Office programs including Excel, and a sound understanding of databases.
- Demonstrated capacity to work independently with minimal supervision and collaboratively within a team.
- Flexibility regarding hours of work.
- Strong attention to detail and experience in administrative systems.
- High-level relationship management skills and the ability to work effectively with committees and a range of internal and external stakeholders.
